Configuring Microsoft Office Outlook

  • Click on Start / Settings / Control Panel.
  • Double-click on Mail.
  • Click on Add.
  • Type in a Profile name, for example, delacruzj
  • Click on OK.
  • Click on Next.
  • Select Microsoft Exchange Server.
  • Click on Next.
  • Type in Microsoft Exchange Server: manila.dlsu.edu.ph.
  • Type in User Name: delacruzj.
  • Click on Check Name.
  • You will be prompted to login: type in manila\<username> and the password. Click on OK.
  • Click on Next.
  • Click on Finish.

Running Microsoft Office Outlook

  • Run Microsoft Office Outlook.
  • Select the Profile that you created in the previous step.
  • Click on OK.
  • You will be prompted to login. Type in manila\<username> and the password. Click on OK.

Backing-Up E-mail using Microsoft Office Outlook

Note: to make backup email easy, it is recommended that you create a backup directory and move all emails that you want to backup to this directory.

  • Select folder you want to backup.

  • Click on File / Import and Export.

  • Select Export to a file and Click on Next.

  • Select Personal Folder File. Click on Next.

  • Check and make sure that the folder that you want to backup is still selected. You may also want to put a tick on “Include subfolders” if there are subfolders inside the mail directory. Click on Next.

  • Specify a location for the backup file. Click on Next.

  • You may want to password protect the file. Click on Next.

  • You will see the banner below once export starts.

  • After export, delete the folder. Click on the folder. Press the Delete key on the keyboard. Click on Yes.

Archiving E-mails in Microsoft Office Outlook

  • Run Microsoft Office Outlook.
  • Select the Profile that you created in the previous step.
  • Click on OK.
  • You will be prompted to login. Type in manila\ and the password. Click on OK.
  • Click on File / New / Outlook Data File.
  • Select Office Outlook Personal Folders File. Click on OK.
  • Select backup PST file (created in Backing-up email).
  • Put a name – This will be the name for the Personal Folder. Click on OK.

Note: The email backup will be accessible. However, it will not be consuming valuable mail quota. You can move emails from your Exchange mailbox to this local copy. Remember that since the email backup is accessible, email backups may be used like emails in the Exchange mailbox, including getting deleted.

Note:To remove email backup from Outlook, right-click on the Personal Folder and click on Close “<name of Personal Folder>”.
